Minutes of Executive Records Committee Oversight Board
August 8, 2002
Meeting held in Room 542, City& County Bldg, 3:30 P.M.

Ken Cowley called the meeting to order at 3:00 pm. Minutes of July 29, 2002 were
distributed. No corrections or additions were made. The minutes were approved.
A copy of the draft of the Electronic Mail and Electronic Documents Policy, dated 8/5/02
was handed out to each member of the board present. The following discussions were
held on monitoring email and super-user files. Also, the primary responsibility for saving
is on the sender. The receiver takes responsibility if the email is coming from outside
Salt Lake City Corporation. Major discussion was held on whether to have a default for a
category when saving, or no default. For initial testing, the "no default"was chosen.
Ken Cowley announced the General Records Committee would be meeting Tuesday,
August 13. Boyd Ferguson said he would make revisions to the policy in time to
distribute it to the General Records Committee. The General Records Committee would
be responsible for training City employees on this policy.
