6/11/2012 - Meeting Minutes MINUTES CITY&COUNTY BUILDING CONSERVANCY AND USE COMMITTEE MONDAY,JUNE 11, 2012, 4:00 P.M. Committee member roll call: Terry Wright,Johns Phillips, Paul Heath and Jerod Johnson. Ex Officio: Jim Cleland, Sean Fyfe and Jaysen Oldroyd. Guest: Don Harward First item on agenda is to approve the April 9, 2012 and May 14, 2012 minutes. Terry asked if there is a motion to approve the April 9, 2012 minutes. Paul made a motion to approve the April 9, 2012 minutes the motion was seconded. The April 9, 2012 minutes were approved. Terry had many corrections to the May 14, 2012 minutes, the corrections will be made. Jerod made the motion to approve the May 14, 2012 minutes with changes, the motion was seconded and the May 14, 2012 minutes were approved with corrections. Note: the corrections were made June 28, 2012. The tile has been approved for the building; it will be used for wainscoting, shower and the floors. The floors will be scuff resistant, and the toilet will be a water saver one. The shower enclosure will be clear glass. The kitchen counter tops will be granite. One cabinet is a sink cabinet which allows a stainless steel sink and garbage disposal, which is ADA compliant. Storage cabinets will be installed on the West wall, some of the cabinets will have lights underneath. The refrigerator is on the south wall, and there will be an overhead which will house a microwave. The cabinets will be oak that goes along with the oak in the City and County building. There will also be a cabinet in the restroom for the Mayor's suits; it is about 7' tall and 6" deep. Lighting will be installed in the restroom. The exhaust fans and the ceilings will stay the same. Please refer to specifications for more detail. The work will be done on evenings and weekends so the office business hours are not disturbed. Mark stated that the City is encouraging people not to use garbage disposals as they tend to produce more waste. Don will research it before approving the work. Terry asked about the electrical outlets and the wattage, he notes a 65 watt outlet which Don stated is for the microwave. There are two more 65 watt outlets Terry asked about Don answered they are for task lights. 1 Jim stated that the Mayor's office is paying for the remodel. The cost was asked about,Jim stated the lowest bid was estimated at$36,000 they went with low bid. Terry asked if there is a motion to move forward with the Mayor's restroom and kitchen remodel. Jared made the motion to approve the remodel, the motion was seconded and the Mayor's restroom and kitchen remodel was passed. The next item Terry discussed was the agenda for the next meeting, he commented that historically the committee does not meet in July and the grounds walk through occurs in August. Jim stated the grounds walk through is done after the last big event on Washington Square. Terry asked when the last event occurs; the last event on the grounds will be late August. The Washington Square grounds walk through will be on the agenda for September, the Urban Forester and Parks will be invited to the meeting. Terry asked if the Committee members were all in favor to skip July's meeting, everyone was. Jim talked about the water cooler in the City and County building. Jim had Colvin Engineering do the engineering on the project. Colvin did test on the temperatures of the chilled water going through the building and it is too high. It is going to have to have mechanical cooling. Colvin made cardboard mock ups of the cooler to see if it will fit up the stairs; it did. Jim will present more information regarding the project at the August meeting. John asked what was wrong with the water,Jim said nothing it is at 65 degrees but the occupants of the City and County building want the water colder. Jim stated that the City and County building has passed the energy star rating and he will have the plaque for the next meeting. Terry referred to the member list because there are several members whose membership terms are up. The secretary will research and get together with the members who need/want to renew their memberships. 2
