8/14/2014 - Meeting Minutes SALT LAKE CITY SISTER CITIES ORGANIZATION BOARD OF DIRECTORS MEETING RECEIVED Thursday,August 14,2014 City& County Building 451 S State Street, Room 326 OCT 1 3 2014 Salt Lake City,Utah 84111 CITY RECORDER The regular Sister Cities Board of Directors meeting for Salt Lake City was held on Thursday, August 14, 2014 at 5:17 p.m. at the City & County Building, 451 South State Street in Room 326. Board Members Karen Wiley (Chairperson), Jorge Arce-Larreta, Olga Efimova, Nicole Gallo, Anne Erickson, Jinger Laguardia, and Margaret Yee were present. Salt Lake City Community& Economic Development Director Eric Shaw was also present. WELCOME 5:17:32 PM Chairperson Karen Wiley called the meeting to order and welcomed all in attendance. REVIEW AND APPROVAL OF THE MINUTES 5:18:35 PM After reviewing the minutes,Ms. Wiley called for a motion to approve the Sister Cities Board of Directors Meeting minutes for June 16, 2014. Mr. Arce-Larreta moved to approve the minutes as presented and Ms. Yee seconded the motion; all voted aye; the motion passed. PUBLIC COMMENT SECTION IN MINUTES 5:19:05 PM Ms. Wiley suggested that going forward the Board agendas contain a section for public comment, which will enable members of the public to address the Board. In addition, it is suggested that another section be included for organizations to come and present to the Board on various topics. Ms. Laguardia voiced a concern that this could cause some communication problems when the Board is seen as endorsing organizations and programs that come to present. Determination was made to include language on the agenda indicating that this is for informational purposes only and is not considered a sponsorship or endorsement by the Board. Ms. Laguardia will create the language and form for this purpose to bring to the Board for review. Motion made by Olga Efimova to approve inclusion of two new sections to the Board agenda for presentations and public comment. Margaret Yee seconded the motion; all voted aye; the motion passed. Sister Cities Board of Directors Meeting August 14, 2014 BUDGET ALLOCATION DISCUSSION Ms. Wiley proposed that each of the six cities be allocated$900 and the remainder be used for dues, gifts and$200 for printing. That leaves $1,500 for items that come up throughout the year. Board members were all in agreement. PRESS RELEASES Ms. Wiley discussed the need for a press release form for the Board members to use when notifying the city about newsworthy items and events. Ms. Laguardia offered to prepare a form to be included in the Board packet for this purpose. Board members all agreed. CLEAN AIR DISCUSSION Ms. Wiley requested that Board members provide information regarding any initiatives being undertaken by the sister cities they represent to improve air quality. Members were asked to provide information to Eric Shaw, Ms. Wiley and Ms. Laguardia before the next meeting on September 11, 2014. UPDATE ON TORINO, ITALY FROM JINGER LAGUARDIA Ms. Laguardia reported that the Italian Festival was held this weekend. They had a great show on Channel 13 this morning. Everyone received their pins and they look great. She suggested it might be a good idea to have gift boxes made, with pins included,that can be presented as needed.. UPDATE ON IZHEVSK,RUSSIA FROM OLGA EFIMOVA Ms. Efimova traveled to Izhevsk in July. She reported that she met with representatives from city administration and Association of City Development. It is a young and very active organization that includes folks from business, city,the sciences. They are very interested in contact with Salt Lake City. She met with a company interested in making contact with Varian medical supplier here in Salt Lake. Children art school also would like to make contact, as well as group of ethnic musicians,bicyclists and retired people. Met with medical and technical academy that expect to visit Salt Lake in October and November and to talk with the exchange department at the University of Utah. UPDATE ON TORINO, ITALY FROM NICOLE GALLO Ms. Wiley congratulated Ms. Gallo on a recent article highlighting her in the Italian newspaper. 2 Sister Cities Board of Directors Meeting August 14, 2014 Ms. Gallo inquired about why the Sister Cities Board is not notified when events happen that involve their cities. An example was a student exchange group that visited Salt Lake,but the Board was not informed. Request made for Eric Shaw to look into why the Board is not kept informed. Communication is going out to Torino from somewhere and the Board is not made aware. Eric indicated that he will see what he can find out. UPDATE ON CHERNIVTSI, UKRAINE FROM ANNE ERICKSON Ms. Erickson reported that there is still much unrest in the Ukraine now. Their contact has died down for right now. She recently discovered that there is a large group of Ukrainian people in Salt Lake that were not previously known about. It may be possible to expand the Ukrainian community in the Salt Lake area, which is exciting. BOARD MEMBERSHIP RENEWAL APPLICATION Board members received paperwork to fill out to apply for renewal of their membership for those whose terms have expired. Members instructed to complete the forms and return them to Eric and Robyn. UPDATE ON TRUJILLO,PERU FROM JORGE ARCE-LARRETA Independence Celebration was held in July. Three events were held in Salt Lake City. Have been in contact with company that does technical assistance to develop micro enterprises and work with GOED in different regions. They are currently working in city north of Trujillo. They are interested in doing work in Trujillo. Mr. Arce-Larreta is traveling to Trujillo in October to meet with the newly- elected representatives to discuss and promote the relationship. Mr. Arce-Larreta has been in contact with the L.D.S. Church Council of the Seventies and the people in charge of temples because at the end of this year or early next year a large temple will be dedicated in Trujillo. Tabernacle Choir will likely visit the city for the dedication. Collaboration efforts are ongoing for that event. Eric announced that the transmittal to recognize Trujillo as a sister city has been transmitted to the Mayor's Office for review. From there it will go to the City Council for scheduling on their agenda for approval. UPDATE ON KEELUNG,TAIWAN FROM MARGARET YEE Ms. Yee reported that the 35th Anniversary event was a great success. She thanked the Board and Eric Shaw for all the help and support. A delegation will be traveling to Keelung in September. The group will include Eric Shaw, Margaret Yee and a group from the Salt Lake City Police Department. The Keelung police department is coordinating the trip. 3 Sister Cities Board of Directors Meeting August 14, 2014 There was a grand opening held for a new Chinese Market now located on 3300 South State. Ms. Yee suggested that the Mayor's office inform Eric's office when they receive communication from other sister cities, so that he can then inform the Board. A letter was sent from Keelung to the Mayor of Salt Lake and Margaret was not notified until she heard from the Mayor's office in Keelung. UPDATE FROM ERIC SHAW The Mayor of Kason City Philippines contacted the Salt Lake City Mayor's Office requesting to renew the relationship. If any of the Board members know who the representative is for Kason City,please let Mr. Shaw know. He will do some research in the meantime. The World Trade Center has a new director and she is actively reaching out. Mr. Shaw recently participated in an exchange in Nice France. Mayor of Kahn France will be here in February on an economic exchange. He will keep everyone updated on that. UPDATE FROM KAREN WILEY Ms. Wiley announced that Janette Misaka's husband recently passed away. A card was circulated for everyone to sign, which she will mail to Ms. Misaka. It is time for annual reports. 2013/2014 reports are due. Also need to complete report from last year. Please submit those to Karen Wiley. She will put the report together to submit to Eric Shaw. It is time to order new business cards. Start looking at what you would like yours to look like.
